A receipt for the HRA file, not a lease

Every March a salaried inbox fills with “please share rent receipts for HRA.” Someone forwards a 2014 Word file with Comic Sans and a missing address line. This page is the boring alternative: tenant, landlord, property address, amount, city, period, receipt date. The sheet updates as you type. Print it. Hand it to the landlord for a signature. That signature line is the point. An unsigned PDF you generated yourself is a draft. Payroll that accepts unsigned drafts is being generous, or sloppy.

I am not a CA and this is not a legal instrument. The generated sheet says so in the fineprint. A rent agreement, a police-verified lease, a notary, a revenue stamp — those are other objects. This is the one-page “received with thanks” note that HRA proof packs still ask for. Whether old-regime HRA is even worth the paperwork lives on the salary calculator. Worked example: ₹25,000 a month, April to June

Tenant your name, landlord the name on the door, address the one in the agreement, amount 25000 (the default), city Bengaluru, period April to June, receipt date the day you actually print — or three monthly sheets if payroll wants one receipt per month. ₹25,000 × 3 = ₹75,000 for the quarter. Print. Get the landlord to sign each sheet. If they live in another city and you only have UPI, you still need the signed paper (or a scan of a signed paper) for the file. A UPI screenshot proves money moved. It does not name the property or the period the way a receipt does. Many payroll teams want both.

Worked example: ₹18,500 in Pune, landlord wants one annual sheet

Some landlords hate signing twelve times. One receipt for April–March at ₹18,500 × 12 = ₹2,22,000 is a layout some offices accept and some reject. Ask before you print twelve originals. If they want monthly, monthly wins. Put the period in the month fields so the sheet does not say “[From] to [To]” like a template you forgot to fill. City Pune belongs on the sheet; it does not flip a metro flag here, because there is no HRA computation on this page.

Worked example: payroll asks for landlord PAN and a cancelled cheque

Above a threshold that payroll will name (it moves with internal policy more often than people admit), HR asks for the landlord’s PAN and sometimes a cancelled cheque or passbook photo. That is their Form 12BB / proof window, not a feature of this generator. I did not add a PAN field on purpose. Putting a landlord PAN on a webpage “receipt generator” is how those numbers end up in screenshots. If you must write PAN on the paper, write it by hand after printing, or on the annexure payroll specified. Format-check a PAN on the PAN / GSTIN validator if you only need a typo gate — still not NSDL.

What I will not put on this sheet

Revenue stamps: some cash-receipt cultures still paste one; a lot of NEFT rent does not. I will not draw a fake stamp. If your office requires it, they will say so. Advance rent lumped as “April–March paid in April” can be true and still confuse an exemption worksheet — that fight is with payroll, not with this HTML. Sharing a flat, two tenants, one landlord: print two receipts or one with the right names; I cannot know which the employer wants. Close the tab on a shared machine. The numbers never uploaded, but the next person does not need your landlord’s name in the field cache.

Is this a legal rent agreement?

No. It is a printable receipt for HRA paperwork. The lease, if you have one, is a separate document. The fineprint on the sheet says it is not a stamped legal instrument.

Does the landlord have to sign?

Yes, if payroll is going to treat it as a receipt. The sheet has a signature line. An unsigned printout is a draft, not proof.

Will every employer accept this layout?

Many do. Some want cancelled cheques, bank statements, or landlord PAN once annual rent is high. Ask payroll for their proof list this year.

Where do metro vs non-metro HRA caps live?

On the salary calculator, not here. This page does not compute exemption. It only types the receipt.

Revenue stamp?

Some offices still expect a stamp on cash receipts; many bank-transfer rents skip it. Local payroll practice wins over a blog post.

Does tenant or landlord data upload?

No. Print from this tab. Close it on a shared machine when you are done.

Can I keep landlord details for next month?

Tick Remember on this device. It stays in this browser only. Forget wipes it. Do not tick that on a shared computer.
